Is Resonia HIPAA compliant?

Yes, Resonia is designed to be fully HIPAA compliant. We implement comprehensive administrative, physical, and technical safeguards to protect Protected Health Information (PHI). All data is encrypted at rest and in transit, and we sign Business Associate Agreements with all relevant subprocessors.

What equipment do I need for VR therapy?

For VR therapy sessions, you'll need a compatible VR headset such as the Meta Quest 2/3, HTC Vive, or Valve Index. Your clients will also need a VR headset. Sessions can be conducted entirely in VR, allowing you and your client to meet in a virtual therapy room and interact with shared instruments.

Can I use Resonia with my existing EHR system?

Resonia includes comprehensive clinical documentation features (SOAP notes, treatment plans, etc.). We're working on integrations with major EHR systems. For now, you can export your clinical data in standard formats for import into your EHR.

How does billing and insurance work?

Resonia includes integrated billing features. You can create superbills for clients to submit to their insurance companies, process direct insurance claims (with proper credentialing), and manage your fee schedule. We support standard CPT codes used in music therapy practice.

What if I need help during a session?

Our support team is available during business hours via email at [email protected]. For critical issues, we offer priority support for Professional and Enterprise tiers. We also have comprehensive in-app help documentation and troubleshooting guides.

How do I add team members to my practice?

Go to Settings → Team Management → Invite Team Member. You can invite therapists, supervisors, or practice admins. Each role has different permissions - for example, Practice Admins can manage billing and your website but cannot access patient records (HIPAA compliant by design). Large Practice tier includes unlimited team members.

What is a Practice Admin and what can they do?

Practice Admins are non-clinical team members like office managers, bookkeepers, or virtual assistants. They can manage billing, edit your therapist website, view analytics, and handle administrative tasks. They CANNOT access patient records, SOAP notes, treatment plans, or join therapy sessions - ensuring HIPAA compliance while delegating non-clinical work. Professional tier includes 1 free Practice Admin seat.

How do e-signatures work for consent forms?

Create consent forms using our drag-and-drop builder, then send them to patients via their secure patient portal. Patients can sign using a typed signature or draw their signature on screen. All signatures include timestamps, IP addresses, and legal acknowledgments. Signed forms are stored securely with a complete audit trail.

Can I share documents securely with patients?

Yes! Upload documents (PDFs, images, etc.) and share them with specific patients through their secure portal. Patients receive a notification and can view documents in their Documents tab. All document access is logged for HIPAA compliance. You can also un-share documents at any time.
